One year in: the work you see, and the work you do not

One year of iGPA: the visible work that fits the tool to the admissions cycle, and the invisible work that makes it trustworthy all the way through.

You probably already know the deal in most international admissions offices: one person wearing many hats, supported by a couple of student workers who rotate out every few months, and a stack of transcripts from school systems no single human could keep straight. That's exactly the desk where iGPA started — built with insights from international admissions professionals who were living it.

A year ago it was a calculator that did one thing well: turn an international transcript into a U.S. GPA you could trust. Twelve months later it still does exactly that. But most of the year went into everything around that core — the parts that make it hold up when a real office leans on it, every day, all cycle long.

So this is the story of the year, told in two halves: the work you can see, and the work you can't.

The work you can see

A cycle has a rhythm, and we spent the year fitting the tool to it.

It starts with the calculator itself. We reworked the interface so a student worker can sit down on their first day and get a conversion right — clear inputs, fewer ways to go wrong, the same result whether it's you at 8am or your work-study at 4pm. When you're training new people every term, "obvious" is a feature.

Behind the calculator, we built out the things you used to keep in a binder or in your head. Global Education Systems turned years of "wait, how does this country grade again?" into a reference that's actually at hand. Curated Events collects international recruitment events that other enrollment managers have actually attended and rated — not a scraped list, a vetted one. And the visa wait-time tracker pulls appointment data from travel.state.gov, so when you're deciding where to push, you can see where processing is going to bottleneck before it surprises you.

Then there's what happens to all those conversions after you run them. They don't disappear into a spreadsheet — they add up. The Dashboard turns a cycle's worth of conversions into a picture: where your applicants come from, down to region and city, by GPA band, year over year. History keeps every conversion you've ever run — searchable, exportable, and able to send a student their result and next steps, one more honest touchpoint. And the Team view shows you when your office actually peaks, so you can plan hiring and budget around real workload instead of a guess.

None of these were the headline. The headline was always the calculator. But by the end of a cycle, the tool you opened in September has quietly become the thing that tells you where to spend next year's travel budget.

The work you can't see

Then there's the other half — the half nobody sees, and the half we lost the most sleep over.

This is student data. Transcripts, names, grades. So under everything you touch, there's a layer whose entire job is to make sure that data is handled the way it should be. Conversions are encrypted, in transit and at rest. Every institution's data is walled off from every other institution's — not by convention, but by the database itself, so it isn't possible to see across that line. FERPA isn't a checkbox here: you can access what's yours, you can delete it and have it actually be gone — it cascades through every record and logs who did it and when — and there are real retention rules running quietly in the background.

A lot of the past few months went into hardening exactly this. We added automated quality gates so nothing ships without passing its checks. We wired up error monitoring and a public status page, so if something is wrong, we know before you have to tell us — and you can check for yourself at status.internationalgpa.com. We tightened how every administrative action is recorded. We wrote the unglamorous documents — disaster-recovery steps, an on-call playbook — that you only ever want to have written before you need them.

You shouldn't have to think about any of this. That's the whole point. The best of this work is the work you never notice.

Built inside-out

There's a temptation, building software, to make the part people see polished and let the rest be whatever holds together. We tried hard to do the opposite, too — to make the inside as careful as the outside.

The screens you use every day got real attention: the layout, the mobile experience, the small frictions that add up when you do something a hundred times a week. But so did the parts you'll never look at — the way data is stored, the way access is scoped, the way the system behaves when a deploy goes sideways at 11pm before a deadline. Same standard, both sides. A tool that handles students' records should be trustworthy all the way through, not just where the light hits.

What the year was really about

If there's a throughline, it's this: reliability that compounds. The calculator has to be consistent first — that's the foundation everything else stands on. But once it is, every conversion you run becomes a data point, and the picture of your own applicant pool gets sharper every cycle. The tool is most useful not on day one, but in year two and year three, when it's quietly been working the whole time.

We also made a decision this year to keep iGPA's pricing simple and transparent — a real number on the page, no "contact sales," because we've been on the other side of that, and didn't love it.

There's more coming — ways for larger offices to segment their data by program and see how their partners are contributing — but that's a story for a later post. For now, we mostly want to say thank you. iGPA is built by people who've done this job, for the people doing it now, and the year was shaped by the offices who told us what actually helps.
